The accounting

Most of the work is in the edge cases

Adding up revenue is easy. The reason spreadsheets drift is everything that happens after the sale.

  • A cancelled order leaves the month it was placedCancel an order and Shopify creates no refund record, so most tools quietly leave the sale in your revenue forever. ProfitStar reverses it out of the month the order was placed, along with its shipping and its order count.
  • A refund counts on the day it was refundedNot the day the order came in. A June order refunded in July is a July return, which is how your bank sees it and how your accountant will book it.
  • Refunded shipping is money that leftIt sits in a corner of Shopify's refund record that reporting tools routinely miss. It is counted here from day one.
  • Missing cost data is shown, not assumedIf your variants have no cost set, ProfitStar says so instead of printing a confident $0.00 product cost and overstating your profit by the entire line.

Data

What it reads, and what it never touches

ProfitStar is a bookkeeping tool, so it reads money and quantities. It has no use for your customers’ identities and does not request them.

What it reads

  • Order totals: subtotal, discounts, shipping, tax
  • Line quantities, and which product and variant
  • Refunds: amount, date, and refunded shipping
  • Whether an order was cancelled or was a test
  • Your variants' cost per item, to price goods sold
  • Daily ad spend from ad accounts you connect

What it never reads

  • Customer names
  • Email addresses
  • Phone numbers
  • Shipping or billing addresses
  • Customer IDs (no customer record is read at all)
  • Nothing is ever shared between merchants
